CoachPal Privacy Policy
CoachPal is a real-time compliance-coaching tool for Medicare insurance sales agents. This policy explains what data the CoachPal application accesses, how we use it, and the choices you have. It covers the CoachPal GoHighLevel Marketplace app and the CoachPal web application.
Information we access
- GoHighLevel data (read-only). When you install and connect CoachPal, we access your contacts, your locations (sub-accounts), and your user profile, using the minimum permissions the app requests. We do not modify, delete, or place calls to your contacts.
- Call and coaching data. For practice and coached calls, we process the call transcript and generate compliance feedback, a customer profile, and a report card.
- Account and usage data. Basic identifiers needed to sign you in, operate the service, and secure it.
How we use it
- To provide live coaching, compliance tracking, scripting, and call summaries.
- To operate, secure, maintain, and improve the service.
- We do not sell your data, and we do not use it for advertising.
How we share it
We share data only with service providers that help us run CoachPal (for example, cloud hosting, speech-to-text and language-model processing, telephony, and payment processing), under agreements that limit their use of the data to providing those services. We may disclose data if required by law. We do not otherwise share your data with third parties.
Administrative access
CoachPal is distributed and administered through a platform operator. To provide support, administer accounts, verify compliance, bill for the service, and maintain and secure the platform, authorized personnel of the operator may access your account, coaching, and usage data. Access is limited to these purposes and to staff who need it, and those staff are bound by confidentiality obligations.
In addition, within your own organization, the administrators you designate can view the coaching activity, call records, and compliance results of the agents in your account. You are responsible for providing your agents appropriate notice of this monitoring and for obtaining any consents required by law.
Data retention and deletion
We retain data only as needed to provide the service and honor your settings. Coached session records are kept for your review. When you uninstall the GoHighLevel app, CoachPal's access to your GoHighLevel data is revoked immediately.
You may request permanent deletion of your organization's data at any time. On request (or on account closure), we erase your stored data — organization records, access tokens, configuration, coaching sessions, billing records, and usage — and cancel any active subscription. If we hold data on behalf of a GoHighLevel user who requests deletion, we will delete it as required by applicable data-protection laws.
Security
We use industry-standard safeguards, including encryption in transit and encryption at rest for sensitive credentials such as access tokens. Access to production data is restricted.
Your choices and rights
- Disconnect at any time by uninstalling the CoachPal app in GoHighLevel.
- Request access to, correction of, or permanent deletion of your data by contacting us.
- Depending on your location, you may have additional rights under data-protection laws (such as GDPR or CCPA); we honor these requests as required by law.
